About the Client

The client is a well-funded, AI-powered startup aimed at automating and streamlining workflows for insurance brokers and agencies. While their proprietary AI engine is highly advanced at handling quote comparisons and proposals, they needed a sophisticated, user-centric web interface to match. They aimed to completely overhaul the platform's UI/UX to ensure seamless onboarding, intuitive document management, and frictionless subscription handling.

Challenge

The client approached us with a specific bottleneck: a fragmented user experience that was masking the power of their internal AI engine.

While their core AI technology was robust and fully functioning, the surrounding legacy web application lacked the refinement necessary for a premium B2B SaaS product. The platform struggled with clunky user flows, confusing template customization processes, and unengaging wait times during heavy AI processing (which could take over a minute).

Furthermore, as a growing startup, they faced a business-critical hurdle: establishing clear monetization and access control. They needed a partner to modernize the platform's exterior, handling login/logout architecture, role management, dashboard configurations, and Stripe-integrated subscription gating without disrupting the proprietary AI core.

Strategy

Before executing the redesign, we conducted a thorough analysis of the existing user journeys and wireframes. We realized that the key to unlocking the platform's potential wasn't altering the AI, but bridging the gap between complex AI output and human usability.

Our strategy focused on three pillars:

Simplification

Reducing friction in the onboarding and document management phases. We designed a welcoming post-signup flow that immediately personalizes the experience (e.g., agency logo uploads) and streamlined how users initiate AI chats via document uploads.

Engagement

Addressing the inherent latency of complex AI tasks. Instead of static loading screens that cause user drop-off, we implemented dynamic, interactive loaders that provide real-time backend status updates while the AI generates templates or analyzes documents.

Scalability

Preparing the platform for commercial growth. We structured a clear monetization UI, implementing credit-gating, promotional pricing logic, and a secure, self-service subscription cancellation flow via Stripe.

Building the Solution

We engineered a refreshed, scalable web application wrapper using React and Python, designed with a user-first philosophy to handle complex state management and seamless API communication with their internal AI engine.

To address the UX challenges, we completely redesigned the Template Customization Flow. We built intelligent UI indicators forcing necessary prerequisite steps before rendering, alongside lightweight loaders to manage the 10-second template generation times.

For the AI Assistant interface, we introduced flexible chat initiation (allowing users to start workflows via typing, uploading new files, or selecting existing ones) and a newly structured Chat History sidebar for easy retrieval of past proposals.

  • Enhanced Document Previewing, allowing users to view PPTX, DOCX, and Excel files directly in-app, with specialized highlight views and unified table formats on the dashboard.
